Manage shared equipment

Stop fighting over the centrifuge.

Shared equipment runs on goodwill and a wall calendar until it doesn't. Double-bookings, no-shows, untrained use and kit sitting idle all cost time and trust. LevelSixLabs puts shared equipment and rooms on one calendar with real conflict prevention and training-gated access.

  • Conflict prevention, enforced at the database
  • Training-gated access where it matters
  • Day / week / month / year calendar
  • Book from a phone by scanning a QR code

The cost of the status quo

  • Two people book the same slot and clash
  • Untrained users run kit they shouldn't
  • A whiteboard calendar nobody keeps current
  • Expensive equipment sits idle, unseen
  • No record of who used what, when
  • Faults take a machine down with no warning to bookers

How LevelSixLabs helps

One shared calendar

Day, week, month and year views with overlapping bookings shown side by side and a stable colour per item.

No double-bookings

Clashes are flagged when you book and enforced at the database level, so two people can't grab the same slot at once.

Training-gated access

Mark kit as training-required and only people with a valid training record can book it — others see it locked, with a reason.

Book at the bench

Scan the QR label on a machine to open it and book on the spot from any phone.

Faults block bookings

An admin can block bookings on faulty kit until a fixed date, so nobody books a machine that's out of action.

A usage record

Every booking is recorded, giving you visibility of utilisation and who used what — useful for sharing and reporting.

See it in action

Booking that prevents the clash

Recorded in the real app: book on a shared calendar with conflict detection, and watch a training-required item stay locked for an untrained user.

  • Side-by-side overlapping bookings
  • Training gate on restricted kit
  • Database-enforced conflict prevention

What changes for your lab

  • Double-bookings stop happening
  • Only trained people run restricted kit
  • Idle equipment becomes visible to share
  • Faulty kit can't be booked by mistake

Manage shared equipment — common questions

How is a double-booking actually prevented?+

Two ways: a check when you book gives a clear 'clashes with…' message, and a database constraint stops two overlapping confirmed bookings even if two people submit at the same instant.

Can we require training for certain equipment?+

Yes. Flag a piece of kit as training-required and only users with a valid (non-expired) training record can book it. Training records are logged per user with optional expiry.

Does it cover rooms as well as equipment?+

Yes — rooms and equipment both book on the same calendar, both support conflict prevention, and both can carry faults that block bookings.

Can people book without a computer?+

Yes. The calendar is mobile-first and a QR code on each machine opens it for booking straight from a phone.
